Look, we get it - nobody actually reads these things. But since we're lawyers who deal with privacy law every day, we figured we'd make ours straightforward and honest. No legal jargon marathons here.

At Quinthorynex Legal, we've been helping clients protect their data and navigate privacy regulations since day one. So yeah, we take this stuff seriously because we've seen what happens when companies don't.

This policy explains how we collect, use, and protect your information when you visit our website or work with us. It's compliant with Canadian privacy laws including PIPEDA, plus we've thrown in some best practices from our IP and tech law work.

Stuff you give us directly:

  • Name, email, phone number when you contact us or fill out forms
  • Company details if you're reaching out for corporate services
  • Any information in emails, calls, or meetings (attorney-client privilege applies once you're a client, obviously)
  • Documents you share during consultations or engagements

Information we collect automatically:

  • IP address and browser type (standard web stuff)
  • Which pages you visited and how long you stuck around
  • Device info and operating system
  • Referral sources (how you found us)

What we DON'T collect: We're not tracking your social media, buying data from brokers, or doing anything creepy. If we need additional info, we'll ask you straight up.

We use the information we collect for pretty straightforward reasons:

  • Providing legal services: Can't help you without knowing who you are and what you need, right?
  • Communication: Responding to inquiries, sending case updates, scheduling meetings
  • Improving our website: Understanding what content's helpful and what needs work
  • Compliance stuff: Meeting our professional obligations under the Law Society rules
  • Conflict checks: Making sure we can actually represent you without conflicts of interest
  • Billing and accounting: For active clients, we gotta keep financial records (legally required)

We won't sell your info to marketers, spam you with newsletters you didn't ask for, or use it for anything beyond providing legal services and running our practice. That's a promise backed by our professional ethics rules, which we kinda have to follow.

Attorney-client privilege is sacred to us. We don't just casually share your information. Here's the full picture:

Service providers we work with:

  • Secure cloud storage providers (for document management)
  • Email and communication platforms
  • Accounting software for billing
  • Website hosting services

All of these are under strict confidentiality agreements and meet Canadian data protection standards.

When we might have to disclose:

  • Court orders or legal requirements (we'll fight these where appropriate)
  • With your explicit consent
  • To prevent fraud or illegal activity
  • Law Society audits or regulatory reviews

Co-counsel and experts: Sometimes cases need specialist input. We'll only share what's necessary and with your knowledge, maintaining privilege throughout.

Given that we handle sensitive corporate and IP information daily, security isn't optional for us. Here's what we do:

Technical measures:

  • 256-bit SSL encryption for all website communications
  • Encrypted cloud storage with Canadian data residency
  • Multi-factor authentication on all systems
  • Regular security audits and penetration testing
  • Firewalls and intrusion detection systems

Physical and administrative:

  • Secure office access (our suite at 1288 West Georgia isn't just anyone can walk in)
  • Locked file cabinets for physical documents
  • Staff training on confidentiality and data handling
  • Clear desk policy for sensitive materials

Retention: We keep client files as long as required by Law Society rules (typically 10 years after a matter closes). Website browsing data gets cleared after 24 months unless there's a specific reason to keep it longer.

Look, no system is 100% hack-proof - anyone who tells you otherwise is lying. But we've invested heavily in security because our clients' innovations and business strategies depend on it.

Under Canadian privacy laws, you've got rights. Here's what you can do:

  • Access: Ask us what info we have about you. We'll provide it within 30 days (some restrictions apply for privileged material)
  • Correction: If something's wrong, tell us and we'll fix it
  • Deletion: Request we delete your data (exceptions for legal/professional obligations)
  • Portability: Get your data in a usable format
  • Withdraw consent: Change your mind about how we use your data (might affect our ability to help you)
  • Complain: File a complaint with the Privacy Commissioner of Canada if you think we've messed up

How to exercise these rights:

Important note: Some information we're legally required to keep, especially for active or recent clients. We'll explain any limitations when you make a request.

We use cookies, but we're not going crazy with them. Here's what's happening:

Essential cookies: These keep the site working - session management, security features, that kind of thing. Can't really turn these off if you want the site to function.

Analytics cookies: Help us understand which practice area pages get the most interest, how long people spend reading about M&A vs. IP protection, etc. We use this to improve content. These are anonymized and we don't track individuals across the web.

What we DON'T use:

  • Advertising cookies (we don't run ads)
  • Social media trackers
  • Third-party behavioral tracking
  • Cross-site tracking pixels

Managing cookies: You can control cookies through your browser settings. Block 'em all if you want - the site'll still mostly work, just might not remember your preferences.

Most browsers these days have pretty good cookie controls built in. If you need help figuring that out, your browser's help section is your friend.

Privacy laws evolve, technology changes, and we might adjust how we operate. When we update this policy, here's what happens:

  • We'll update the "Last Updated" date at the top
  • For minor tweaks (fixing typos, clarifying language), we'll just update it
  • For significant changes, we'll notify active clients by email
  • Really major changes? We might ask for renewed consent

It's worth checking back here occasionally if you're curious about our practices. We try to keep it current and honest about what we're actually doing.
